The review was not carried out with a view to changing providers straight away. The purpose was to give the operator a clear, evidence-based view of whether the proposed provider could act as a viable alternative if the current maintenance arrangement became unsuitable or less reliable.


The Outcome
The operator was given a clear report setting out the strengths, limitations and suitability of the proposed provider.
Following the review, the proposed provider appeared to be the only viable alternative within a reasonable geographical area. The Problem

What We Did
JS Transport Solutions reviewed the existing FORS documents, including the transport management system, COSHH assessments, vehicle risk assessments and driver-related policies.
We looked at whether the documents could be updated for the new Bronze audit or whether any areas needed to be rewritten. The aim was to make use of the work the operator had already completed, while making sure the evidence was still accurate and fit for purpose.
We also explained the correct audit route. The operator had discussed FORS Silver, but we advised that the business would need to go through the Bronze audit first before applying for Silver. This helped the client understand the correct process and avoid wasting time preparing for the wrong stage.
As part of the support, we helped identify the evidence required for the Bronze audit and started preparing the paperwork so the operator could move towards booking the audit with more confidence. The focus was on creating a practical, clear and current document pack that reflected the way the business actually operates.

This would allow the operator to check whether the missing mileage could be explained by maintenance activity or whether further investigation was needed.
We also advised that where vehicles are moved by a maintenance provider, road tested, taken for inspection or used for short workshop movements, the operator should retain clear supporting evidence. This may include job cards, inspection sheets, brake test records, collection and delivery notes, invoices, mileage readings and workshop comments.
The purpose of the review was to move the issue away from unexplained missing mileage and towards a clear, documented position.
